Peace Lutheran Church ELCA Camp Registration Fee Reimbursement
Objective: To outline the procedure for providing camp registration fee reimbursement to Peace Lutheran Church members attending various ELCA Camps, with specific guidelines for Crossways Camping Ministries and other ELCA Bible Camps. Eligibility: All active members of Peace Lutheran Church are eligible for camp registration fee reimbursement as outlined in this document. Camp registration fee reimbursement is also available for non-members attending Crossways Camping Ministries with a friend who is a member of Peace Lutheran Church. Scholarships will be awarded once per camper per calendar year for summer camp and once per year per camper for off season retreats and mini-camps Registration Cost Coverage: a. Crossways Camping Ministries: Peace Lutheran Church will cover 100% of the registration cost for its members attending Crossways Camping Ministries as a first-time camper. Peace Lutheran Church will cover 75% of the Tier 2 costs for a full week of summer camp for returning campers to Crossways Camping Ministries summer camp, including family camp. b. Other ELCA Bible Camps: Peace Lutheran Church will contribute 50% of the Tier 2 registration cost for its members attending other ELCA Bible Camps, including family camp. c. Non-Members Attending Crossways Camping Ministries with a Friend: For non-members attending Crossways Camping Ministries summer camp with a friend who is a member of Peace Lutheran Church, the church will cover $100 toward the registration cost. d. Off-Season Weekends, Retreats, and Mini-Camps: For members attending off-season weekends, retreats, and mini-camps. Peace will cover 30% of the total registration cost for these events. Application Process: a. Members: Members interested in attending any Bible Camp must submit a written request to the church office at least two weeks prior to camp date. Special exemptions can be made for certain circumstances. b. Non-Members Attending with a Friend: Non-members seeking camp registration fee reimbursement for attending Crossways Bible Camps with a friend who is a member should have the member reach out to the office on their behalf. Application Deadline: All applications for camp registration fee reimbursement must be submitted to the church office by the specified deadline, typically two weeks prior to camp date. Special exemptions can be made for certain circumstances. Approval Process: The pastor will review all applications/requests and make decisions based on the eligibility criteria outlined in this document. Applicants will be notified of the decision within a week’s time of receiving the request. Disbursement of Funds: Approved funds will be disbursed directly to the Camp organization on behalf of the individual. Reporting and Accountability: The Parish Administrator will maintain records of all approved camp registration fee reimbursement applications and expenditures. Communication: Regular updates regarding the financial assistance program will be communicated to the congregation through church bulletins, announcements, and the church website. Revision of Guidelines: These guidelines are subject to periodic review and may be revised as needed. By following this procedure, Peace Lutheran Church aims to support and encourage its members and their friends in their spiritual growth through participation in ELCA Camps. |
